Job Summary:

Reporting to the Neurosciences Associate Director, the Department Administrative Manager oversees the day-to-day administrative activities for the departments of neurosurgery and neurology. Develops and plans to complete assigned operational efficiency projects, including identification and communication with key stakeholders, task management, determining or recommending solutions, managing timeliness of deliverables.

Coordinates and prepares a wide-range of information including data pull/validation, creation/management of staff productivity reports and departmental programmatic reports, and ensures monitoring of back office metrics. Creation of dashboards as necessary, and recommends/implements quality improvement projects.

Supervises a large team of administrative / back office support staff on day-to-day operations and to ensure tasks are completed and deadlines are met. Acts as a resource to guide staff in problem solving and service recovery, and ensures compliance to HR policies and procedures.

Oversees the scheduling and authorization processes, and is a liaison with our central scheduling / auth 
/ admission teams to ensure appropriate process flow, problem solving, and continual workflow optimizations. Collaboration with physicians and staff to ensure back office processes produce a positive patient experience.

Cash pricing process oversight, and ensuring referral and charge work queues are managed/maintained. Ensures integration of outside services / affiliate hospital processes with CSMC processes.

Assists in managing the department's budgets. Design and carry out processes to ensure that leadership have the right financial information to set goals, make decisions, and monitor performance. Supports department leadership by fact-finding and presenting information, with recommendations, in a manner that facilitates policy and operational decisions.


Qualifications

Educational Requirements:

High school diploma / GED required.
Bachelor's degree and Masters degree preferred.
Lean six sigma certification preferred.

Licenses: N/A

Experience:

At least 4 years of ambulatory office management and administrative experience required

Physical Demands:

Walking, sitting, standing, carrying minimal weight < 5 lbs.
