Job Description

The Manager, Clinical Operations Support is responsible for the daily oversight of the administrative and clinical operations of assigned practices, sites, departments and/or programs to meet the needs of physicians, patients and staff and support the mission and vision of Cedars-Sinai Health System and Cedars-Sinai Medical Care Foundation. Leads and consistently completes leader standard work with goals and strategies for improving the operations and processes. Manages all activities for continuous improvement and performance enhancement through involvement in office workflow including performing observations, conducting huddles and Gemba. Teaches and coaches staff on workflows including the creation and adherence to standard work. Manages subordinate staff in the day-to-day performance of their jobs and takes the time to know the status of each staff member's skill level and opportunities for training. Ensures that projects/goals are met and this position has budgetary responsibility for assigned areas. Demonstrates the meaningful characteristics and responsibilities of a leader and takes the time to connect with key collaborators to make sure they are updated on new projects, programs and completion of projects/tasks.

Job Duties and Responsibilities:

  • Assumes fiscal responsibility for budget preparation and expense control.
  • Assumes responsibility for monitoring and responding proactively to fluctuations in efficiency.
  • Collaborates to develop business and operations plans, programs, and services to ensure organizational projects/goals are met and adhering to approved budgets.
  • Executes on leader standard work. Meets requirements for Daily Management Systems. Monitors organizational metrics with review and analysis in coordination with key workflow and staff observations to identify areas of opportunity.
  • Brings “leader as teacher” to life, teaching and mentoring staff on workflows, including the creation of standard work and reference materials for staff.
  • Performs huddles, Gembas, observations and meetings to improve communication and quickly identify successes or areas of opportunity.
  • Advises, supervises and coordinates all aspects of patient care delivery, focusing on scope of practice & education for clinical personnel, resuscitation certification, new employee orientation & annual skills lab, and policies & procedures to ensure a high standard of quality healthcare service. Ensures smooth daily operations and steady progress toward established goals. Establish clear expectations as to adherence to office guidelines.
  • Manages staff including the development of effective short and long-term staffing plans, including interview and hiring, cross-training of staff where appropriate and effective and oversight and management of efficiency. Participates in the evaluation and review of all human resources and communicates issues appropriately and partners with appropriate departments in the necessary execution of these duties.
  • Uses expert knowledge, clinical skills and critical thinking in managing daily delivery of support services assuring implementation of appropriate clinical processes and coordinating/promoting an interdisciplinary team approach.
  • Functions as key resource for staff and physicians in utilization of key information systems and technologies.
  • Assumes responsibility as practice liaison for the resolution of system related issues, identification of opportunities for improvement and implementation of key systems and system and workflow improvements.
  • Establishes effective patient care processes and workflows, in collaboration with operations and medical leadership. Develops and supports policies and procedures that support the provision of quality and timely patient care services; makes recommendations for effective staff and space utilization.
  • Participates in the design and supports the operational implementation of organizational restructuring, new workflows, processes, programs and technologies.
  • Serves as backup coverage for Director of Nursing and Clinical Operations.

Qualifications

Education:

Bachelor's degree in Nursing required. Master's degree preferred.

License/Certification:

California Registered Nurse license required. Basic Life Support (BLS) from American Heart Association or American Red Cross required.

Experience:

Five (5) in a medical office demonstrating leadership experience and knowledge of medical office operations (preferably in a multi-specialty medical group setting), including scheduling, registration, electronic medical records, patient flow, billing, coding, charge capture, referrals, authorizations, payer guidelines, compliance, credentials, privileges and regulatory agencies required.

Oncology experience and Infusion experience preferred.
