The Pharmacy Administration Department has an exciting and challenging opportunity for an Executive Assistant who will support the Executive Director and contribute to our mission of providing world-class healthcare.  


Summary of Essential Job Duties:


• Manage complex calendar.
• Scheduling meetings for Chief Pharmacy Officer. 
• Ensure pharmacy site licenses and necessary documents are maintained, current and readily accessible.
• Schedule meetings with a variety of individuals within and outside the organization including pharmacy, medical and nursing staff, executive management and pharmacy leaders, confirm details with all meeting participants.
• Process expense reports and internal documents.
• Prepare agenda, minutes and materials for pharmacy and interdisciplinary meetings.
• Support development presentation materials and documents using MS Office Suite.
• Collect, compile and analyze data and information. Develop reports for the Chief Pharmacy Officer to support department and organizational needs.
• Ensure manager files are current and meet regulatory requirements.
• Ensures confidentiality and controls access to sensitive information.
• Respond to department-relevant questions from internal and external contacts.
• Act as administrative liaison for the Chief Pharmacy Officer within and external to organization.
• Responsible for maintaining standards of professional ethical practice in accordance with the regulatory agencies.
• Collaborate with other assistants to support department and staff needs
• Manage additional projects as needed.

Qualifications (Education, Experience, Skills, Knowledge and Abilities):
  • High School Diploma/GED required.
  • Bachelor's Degree preferred.
  • Four (4) years of progressive professional office administration experience.
  • Relevant experience in the Executive Assistant capacity is highly preferred.
  • Proficient to advance knowledge in Microsoft Office Suite, Visio and PC operation.

    Ability to organize complex statistical and narrative reports, charts and exhibits into a complete document suitable for presentation/publication. 

  • Knowledge and understanding of the organization, functions, policies and procedures of the department, and the inter-relationship with the larger Cedars Sinai Health System, and the ability to apply that knowledge to the work of the office.

  •  Ability to handle multiple tasks frequently and with short timelines, problem-solve, prioritize and follow through on assignments and work independently and with minimal direction.

  • Ability to communicate professionally and effectively with executives, faculty and administrative staff, patients and representatives of public agencies and business.

  •  Excellent interpersonal, verbal and written communication skills.

  • Demonstrated ability to compose business letters, edit material and ensure correct punctuation, spelling and grammar; ability to perform simple mathematical calculations.
