Surgery/Procedure Scheduler

The Surgery/Inpatient Scheduler schedules patient surgeries, outpatient procedures and performs other related surgery and procedure scheduling tasks for various medical specialties of the Cedars-Sinai Medical Care Foundation. Depending on the needs of the department, this position may be structured as either a front-office position, with additional responsibilities of a Patient Service Representative (“PSR”) that focuses on surgery scheduling and related administrative tasks or as a back-office position, with additional responsibilities of a Medical Assistant (“MA”) that focuses on surgery scheduling in combination with general back office tasks. In the latter case, the surgery/procedure scheduler will have certification as a medical assistant.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Surgery/Procedure Scheduler Responsibilities:
 Coordinates surgery/procedure time between patient, hospital/outpatient surgery center, and physician
 Maintains calendar of surgery and procedure times; follows up with physician to resolve conflicts of schedule in a timely manner
 Pre-certifies procedures with insurance company
 Obtains necessary special equipment requested by physician for specific procedures
 Serves as a primary contact for the patient, provides pre- and post-procedure instructions and assists with patient inquires
 Works proactively to ensure that all arrangements have been made to ensure a timely and orderly environment for each surgical procedure
 Follows up with all parties involved to communicate changes in schedule or place of surgery; works proactively to ensure that all changes are handled in an orderly fashion

Surgery Scheduler responsibilities will be in combination with one of the following (i.e. PSR or MA) job descriptions, depending on the needs of the department.

PSR Responsibilities (may include the following):
 Greets patients; responds to patient questions and complaints
 Collects co-payments and insurance cards/gives receipts/reconciles payments/batches fee tickets/copies required information
 Prepares charts and reviews/performs/updates demographics and insurance information
 Manages patient flow and maintains waiting rooms
 Schedules first available appointments; schedules with ancillary and specialty providers
 Takes voice mail off phones; answers and triages calls, directing to appropriate individuals or departments
 Performs check-in and check-out functions
 Processes and tracks referrals; handles patient and/or MD correspondence
 Manages MD requests
 Performs check-in and check-out functions
 Ability to train co-workers
 Monitors work flow; reviews morning and afternoon tasks; assists in work assignments
 Reports performance issues to supervisors; recommends areas for improvement
 Interface/liaison with other departments

MA Responsibilities (may include the following):
 Greets patients
 Manages patient care flow
 Sets up exam rooms/procedure rooms appropriately based on patient visit needs
 Prepares patients for provider by reviewing current medications/records in medical record; takes appropriate vital signs and record in medical record
 Assists provider in examination and/or procedure rooms as needed; performs designated diagnostic tests as directed by the provider
 Uses PRN/Smart Talk systems as needed by the provider
 Assists in follow-up scheduling needs
 Ability to understand and assist two or more providers with clinical care
 Answers patient calls in timely fashion; handles all designated clinical care telephone interactions with provider input
 Communicates all significant clinical findings to MD
 Serves as an advocate for patient and utilizes appropriate resources
 Serves as an liaison with other departments, facilities, and hospital
 Is available to cover absences, illnesses, and breaks
 Ability to train co-workers
 Monitors work flow; reviews morning and afternoon tasks; assists in work assignments
 Reports performance issues to supervisors; recommends areas for improvement
 Interface/liaison with other departments
Qualification Requirements/Preferences:

EDUCATION and/or EXPERIENCE
Requires Certified medical assistants or higher education. 2-5 years of medical office experience and one or more years of surgery scheduling experience. Medical Assistant certification preferred (or required if expected to provide backup medical assistant coverage). Strong interpersonal and communication skills, especially in the areas of patient and physician relations. Ability to work independently as well as within a group in a multi-tasked, fast paced environment. Well developed organizational and prioritization skills is essential. Strong computer skills; experience with Microsoft Windows is essential; IDX, EIS-OR, or other computerized scheduling systems preferred. Bilingual English/Spanish or English/Russian skills is a plus.
